Booking questions
Ask service-specific questions before checkout and find answers at check-in
Booking questions collect information your team needs for a regular service session. They are available on every plan, within that plan’s service and booking limits. Event signups do not use service questions.
Set up questions
- Open Services, edit the service and find Booking questions.
- Choose Add question and enter the wording.
- Choose short text, checkbox or dropdown. Dropdowns need at least one option.
- Choose Required before booking when an answer is necessary. A required checkbox must be ticked.
- Choose Ask this for every person in the booking to repeat it for each participant. Leave it off to ask once for the group.
- Use the preview, then Save questions. Test the service on your storefront.
A service can have up to 10 active questions. Labels allow 120 characters, help text 200, dropdowns up to 12 options of 60 characters, and text answers up to 500 characters. A booking’s text answers together must fit within 20,000 characters. Move questions up or down to set their order.
Archiving stops the question appearing on new bookings. Existing bookings keep their original wording and answer. Editing a question does not rewrite earlier answers. If another tab changed the questions, reload before saving again.
What customers see
After choosing their session and group, customers choose Continue and complete the information form before adding a booking. Required questions are marked beside the field and prevent completion until answered. This works in the full, compact and single-class widgets, including fixed-size groups.
Changing the group size retains answers for remaining participants and removes answers for people who leave the group. New participants need their own answers. Choosing another service clears the previous service’s form. Answers stay in the current widget session while the customer goes back or the widget redraws; refreshing the page does not restore a private form from browser storage.
Customers accepting a waitlist offer answer the service’s questions when claiming the offer, not when joining the queue. Member and clip-card bookings answer the same form even when no Shopify payment is needed.
Find answers
- Booking details: answers are grouped by booking and person, using the wording at booking time.
- Check-in: expand Booking answers beside the customer.
- Dashboard arrivals: Booking answers opens the booking detail page.
- Optional questions with no answer show Not answered. Checkbox answers show Yes or No; the recorded timestamp comes from the server.
For paid bookings, a summary is copied to exactly one primary Shopify booking line, including native carts, Storefront carts and draft orders. It contains up to 20 answered fields, with values limited to 250 characters. The complete record remains in CapFlow. Shopify can show these properties in checkout and order communications. Member bookings may have no Shopify order, so use CapFlow’s staff views as the primary record.
Scope and privacy
Questions do not change price and do not support uploads, conditional forms, electronic signatures or per-question translations. A checkbox and timestamp record acknowledgement; they do not create a qualified signature or validate someone’s legal authority.
Ask only for information needed for the session. Explain why you collect it in your privacy notice and establish the appropriate basis for processing, especially for health information. Booking answer records are included in customer access exports and removed by customer erasure. A daily bounded cleanup removes those booking records 12 months after the last booked session ends. Shopify order copies, webhook records, exports and backups have separate retention and cleanup requirements.
